As a general statement, anytime you're dealing with government bureaucracy things can sometimes get frustrating.

The day before closing they send me a closing statement with $2600 of Buyer Commission fees and explain it by saying well we negotiated the seller paying it for you.   

You have conflicting statements....if it has already gone thru the foreclosure auction, I assume the bank owns it and it is a typical REO.I don’t get the;Who really owns it?

Although the bill will still be in our company's name, and we will pay it, just with the "extra" money generated from that new statement.

My first plan was to collect e-mails of nearest businesses like gyms, schools, salons, banks, etc. and sent them bulk offers to install the machine.

My lease has a statement of Liability that Landlord is not responsible.  

Quick simple cards that have your name, number, email and maybe a picture of you so that people remember you. 

Tell the attendees you will keep them notified by email list or Meetup notices, which ever you choose, and then either collect those emails, or ask them to join your group on meetup (emails are more reliable).But make no mistake, running a group is work, even if you keep it simple.
