Some may give this up easy, others won't- Qualifying - you likely qualify a caller differently than someone that's taking your calls.

@Carlos AppezattoThe example of what to ask a prospective caller I gave was just a blanket example, you need to set your own criteria but the basic of pre screening applicants is " you just gave them the minimum" that you would even consider meeting with them to show the unit.The other posters have given good tips and I think one thing you could do is have someone "Shop" your realtor.. act like a prospective tenant to call or contact, and see how long it takes for a reply, how enthusiastic the person is to meet and show the unit.. and how quickly they can get an appointment.In the rental business we were shopped occasionally even by our own property owners, so we were prompt with calls, gave fair and equal treatment to applicants, and were good sellers of our units for the owners.. in fact their are businesses out there that hire people to shop apartments just for this purpose.

That just was not working, most callers would not leave a message and the ones that did where either angry that I sent them a letter or angry that they were needing to leave a message.

I would suggest you either prescreen people a bit over the phone before scheduling a showing time (asking questions about pets, income, and credit score eliminates 75% of the callers right there) and then confirming with them an hour or so before the showing (tell people if you can't reach them to confirm an hour before the showing time, the showing is cancelled), or, just publish a rental open house times like 7-9pm Wednesday night and 11-1pm Saturdays.

Some of the callers who received our typed letters commented and said they looked very professional so if you're looking to save on costs, something like that might work.
