Since finding a good handyman isn't easy I try to be accommodating - I pay him how he wants to be paid and I pay immediately once I receive the invoice.

Hopefully, on your owner portal, they provide monthly statements, live reports, copies of all invoices and video inspections.

Many PM's hide their actual maintenance fees to owners by marking up maintenance invoices.

Also, Quickbooks allows you to automate your invoicing and receive payment directly into your bank account, which is just one less headache to deal with if you are trying to collect rent or other fees from tenants or third-parties.

For properties where a government entity services the utility, our policy states we will pay the bill each month then send an invoice to the tenant.  

There was no notification on my end from QB, but the tenant let me know what happened so that I could send a new invoice, and the bank called to ask me to stop trying to take money out of the wrong account.  

Have documentation, dates, photos, invoices, text threads, etc.
