I thought PM will take care of eviction? so what is the function of property manager?

I like the tenant mail me the check. Of course the mail need to be "post-marked" before due date. Otherwise consider late fee. Driving to collect the rent is quite tedius.

For organizing, you can use a scanner to scan all your receipts. If it's small piece of receipt, you can directly take photo with your smart phone.

I currently using the spreadsheet to keep track of all the info for each property.

I have a great tenant living for 3 years. Only have 1 or 2 repair in the whole 3 years. Always pay on time. Keep the house in good condition. When the washer break, I just replaced it with a new washer. The new washer only cost ~$350. For a long-term awesome tenant, I will be very very happy to pay for a new one.

BUT, the other property, tenant living only 6 months, almost called 1 issue every month. When the appliances break, I just told him to refer to the lease state that "it's tenant responsiblity".

too late. You are the one authorized and called for the repair. So, it's yours.

You can remind the tenants about the future repair. But this one is too late to charge the tenant.

I would fire the PM. And report to BBB and post the PM name/company here. So that other owner will not be a victim.

Fire the PM. Find another new PM.

if the market rent is $900, then I will keep the rent at $875. The tenant is not going to move.

You can do the automatic renewal. But, it's better to sign a new one(it can be just the same lease before). This way you will always have the latest signature and latest date. Most importantly, tenant will be read through the lease again. This will remind them whatever they sign. Then, there is no excuse from the tenant that "oh.. I dont know about that".

If it's me, I will maybe try to remind her at the 1st that her rent is due. Set up an auto alert via email or something similar. Also, suggest her to setup bank auto payment.

If she doesn't follow my suggestion, then, If the tenant can afford it, let her pay the late fee. $200 fee over rent of $985 is a lot.
