@Mark Shaver I’ve requested successfully to increase my Podio rate limits in the past. I’m utilizing the api for lead imports from external sources. On each import I do things like check for duplicate phone numbers, existing duplicate properties by parcel number, etc. Because of this, I’m forced to throttle my list imports.

I’m not new to Podio programming and code optimization by any means. I’m utilizing the api for more than form submissions and have received feedback from Podio support itself that says I’ve reached the edge of the system allowed capability.

@Oliver Evans Podio is a great customizable option. In some sense you get what you pay for however. The free version will have very little automation ability, but it depends on what you’re looking for.

What kind of features do you want? Just something to take notes on contacts and create tasks? Do you want to call, text, email through the CRM?

Not certain about the cost because I'm not an agent, but if I was I would go with Brivity

@Patrick Jackson I'm not trashing anything.  As with everything, there is room for improvement.  Podio is what you make of it.  You can make Podio into a great follow-up heavy instrument (as I have with my custom Podio setup).  As for scalability, that is one reason I've been forced to move AWAY from Podio.  Podio rate limits have limited my ability to scale even at my small operational rate:

"The Podio API only allows you to make a certain amount of API calls each hour. The general limit is 1,000 API calls per hour, but if the API call is marked as "Rate limited" in the API reference the call is deemed resource intensive and a lower rate of 250 calls per hour is enforced." - Citrix

To echo @Trevor Ewen's advice... doing this for even two counties will take enough up front time and updating that it's probably worth paying for a company who has already done the hard part and use an API to connect to their data.  I've built scrapers for both Snohomish and King County WA, but will be using something like ATTOM Data when the time comes for the national CRM I'm building.

@Creighton Bertrand Brivity is the best tool I found while doing my research prior to going all in on Podio, but unfortunately it's geared heavily toward Realtors and not worth getting if you don't have a license. It ties into the MLS and requires your license access for most useful features like property data.

@Patrick Jackson Zapier is fine and dandy but not scalable at all.  I always recommend against building tools that may need to be scaled in the future with Zapier.  It's ok to use for mapping out and testing system architecture, but should be temporary until the API communications and code can be moved to a more permanent solution like a cloud server.

It's tough finding a one-size-fits-all solution that allows customization without having an awful learning curve.  I'm building my own CRM from the ground up because 1) I know what I want to exist and have the knowledge to build it for me and 2) I believe others will fall in love with it as well.

What most CRMs fail to do well is automate and assist with the follow-up of thousands of individuals.  Any of you who have been in the game for a while know that property data (comps, repair numbers, etc.) isn't what's important.  What's important is the seller.  Managing a congruent communication thread with sellers through various methods (mail, sms, call, online ads, VM, appointments) is a nightmare with most CRMs.  Message me if you want me to go off on all of the issues I've had with other CRMs!

Another thing to think about that I haven't seen brought up:  where is your data? How easily could you export that data?... With tools like Podio, data extraction is a nightmare.  Want to move to a new CRM from Podio?  Good luck moving your data over and FORGET about keeping your valuable comment history.
