It's 100% about:

1. Data Quality (Getting leads that are likely to be motivated and getting accurate contact information)

2. Consistency (Always having a reminder set to follow up)

3. Organization (Generally a well managed CRM; I'm building my own)

I've been working on developing my own CRM for a year based on the needs I want met.  Here's the workflow I follow:

1.  Import leads with phone numbers

2. Gets a text (CallRail integrated) saying "Hey is this _____?" to which I respond to any dialogue. If no responses continue to 3

3. Ringless Voicemail drop saying "My name is Bryce and I'm looking for one more house to by in -" If no answer continue to 4.

4. Send postcard

5. +7 days send another postcard

6. +14 days send a letter

7. +21 days send another letter

8. +28 days send another letter if they are on more than 2 different motivation lists. If not, mark dead.

I'm currently doing this in Podio until my CRM is ready for use, but Podio has its limits when you're automating this much.  Exponential growth in automations as you add new leads monthly.

Here's what my system looks like:

1.  Pull lists of possible motivated seller properties

2.  Send those leads to a skip trace company to get their phone number

3.  When I add each lead to my CRM with a number, they get an automated text message saying "Hey is this _____?"  I follow communications to see if they are motivated.  If they don't answer, they go to the next step.

4.  Voicemail drop gets sent to their voicemail box saying something like "My name is ______ and I invest in..."

5.  If they don't call back after 1 day they go to the first step in the mail campaign and get sent a postcard.

6.  At increasing intervals they get up to 5 total letters and postcards until they call me.

7.  If they never call me, they are marked dead

8.  If they ever pop up on a new list (see step 1), they restart the mail campaign again.

As I start to get more leads in the pipeline however, Podio isn't cutting it.  The system can only handle so much automation.  I'm building my own CRM called cobras.io.  It's currently in beta but anyone can sign up to use the deal calculator

Couldn't you just find an agent with MLS access and have them regularly export listed homes within certain parameters for you?

@Travis Phillips they have to be custom built for each county.  I have it done for two counties in Washington (Snohomish and King).  You can find people on Fiverr who can build it for you though (I would be too expensive).

I haven't found anything that will manage all of those streams out of the box without being super clunky and having to custom build out integrations.  I'm building a CRM that will handle SMS, call, mail, email, but it won't be ready for public use for quite a while and I don't foresee adding built in support for Facebook ad integration.

I'm building my own CRM and SMS management is the first issue I'm tackling.  I like SMS because of the possibility of building a chatbot to interpret the incoming SMS intention and react accordingly to automate the follow up and response process.  That will be possible one day with calls, but not for a while!

Software developer here building a CRM focused on managing different communication methods between clients.  Adding an age estimate to the generated contacts associated with a property would be great.  This kind of information can be obtained from a skip tracing API, but gaining access to this data via API is very expensive.  How did you estimate age in your algorithm?
