It's better you find the right PM and not the right now PM.  Instruct the previous PM company to send you all deposits, reports, documents, agreements, etc.  When you do find that next PM, you can always transfer the documents/deposits to them.

Yes, this is an extra step.  However, it's an extra step that can a) buy you more time, b) resolve the most urgent need, c) prevents a rushed decision for next PM.


 Unfortunately I am out of state and unable to self manage.

Folks - I have talked to two PM companies. My concerns are the following:

1. One of them has a 1 year agreement and if I terminate earlier there will be an early termination fee for PM fees for the remaining months.

2. One of them has a 1 year agreement but has a 60 days notice if I am going to sell the place and I need to pre-clear with them and I need to use them as the selling agent. Else they can terminate the agreement. If I do not give the 60 day notice or don't use them as selling agent, I will owe one month rent as penalty

3. The first one in #1 above needs me to finalize everything by end of this week Feb 18 failing which they cannot guarantee they can fully on-board. Also, if I reach agreement this month, they would charge a management fee. My other PM company would also charge a management fee this month. So, am I double paying then? Also if I cannot get everything transferred this week and go with them next week, there is still a risk that the current PM will get the rent for March. 

Would appreciate any insight or steer me in the right direction. Also my current PM company said they will send me a note by yesterday to ask me to switch by end of this week but I have not received it yet. Should I force the topic and send them a note instead?

If self-managing isn't an option, I agree with others. Focus 100% on finding a new PM.  80% of stuff we worry about never happens.

The agreement clearly states they must give you 30 days notice. But you also state there has been "severe mismanagement"  by the PM company, so they're unlikely to abide by any of their rules. I agree with Scott that you need to find a new PM, immediately.

Remember: cheaper doesn't mean you'll make more money.

Start by going to www.narpm.org to search their directory of managers. These are professionals with additional training and a stricter code of ethics. It's no guarantee but it's a good place to start. You can also search Google and read reviews. Regardless of how you find them, try to interview at least three managers.

1. Ask how many units they manage and how much experience they have. If it's a larger organization, feel free to inquire about their staff qualifications.

2. Review their management agreement. Make sure it explicitly explains the process for termination if you are unhappy with their services, but especially if they violate the terms of your agreement.

3. Understand the fees involved and calculate the total cost for an entire year of management so you can compare the different managers. It may sound nice to pay a 6% management fee but the extra fees can add up to be more than the other company that charges 10% with no additional fees. Fees should be clearly stated in writing, easy to understand, and justifiable. Common fees will include a set-up fee, leasing fee for each turnover or a lease renewal fee, marking up maintenance, retaining late fees, and more. If you ask the manager to justify a fee and he starts hemming and hawing, move on or require them to remove the fee. Don't be afraid to negotiate, particularly if you have a lot of rentals.

4. Review their lease agreement and addenda. Think of all the things that could go wrong and see if the lease addresses them: unauthorized pets or tenants, early termination, security deposit, lease violations, late rent, eviction, lawn maintenance, parking, etc.

5. Don't just read the lease! Ask the manager to explain their process for dealing with maintenance, late rent, evictions, turnover, etc. If they are professional, they can explain this quickly and easily. If they are VERY professional, they will have their processes in writing as verification that policies are enforced equally and fairly by their entire staff.

6. Ask to speak with some of their current owners and current/former tenants. You can also check their reviews online at Google, Facebook, or Yelp. Just remember: most negative reviews are written by problematic tenants. The fact that a tenant is complaining online might be an indication the property manager dealt with them properly so be sure to ask the manager for their side of the story.

7. Look at their marketing strategy. Are they doing everything they can to expose properties to the widest possible market? Are their listings detailed with good quality photos? Can they prove how long it takes to rent a vacant property?

I get it is scary that in a few days you won't have a PM, but by the sounds of it you don't really have one anyway.

Put 100% of your focus into a new PM.  You can circle back to the disaster company and what to do about them later.  

Do not take your eye off the ball, get a new PM now, nothing else matters today.  

There are a number of repairs on tenant ledger for which they owe the money for but which I have paid upfront. The expectation was that part of that can be recovered from the security deposit. If I change PMs mid stream, how will all this work out?

It sounds like it's a good thing this relationship is coming to an end as it wasn't working out. I would focus your attention on finding a quality PM.

I read through the lease agreement and it clearly says this is possible.

I have three offers and the realtor has told me that since offers have fallen through in the past, we will not accept any of them now but ask Reedy and Company for a 2 hour window this week or next and all cash buyers can look at the property and inspect and put in a non contingency offer. I have reached out to Reedy to give me a timeframe and what they telling me is that it may be virtually impossible as they don't think the law allows that. From what I read here I thought we just need to give notice. Is this not possible?

It shows only when it was listed.
