System for tracking orders Help!

Hey BP, hope you all are doing well. Here's my situation that I am hoping a couple of you can give me some ideas for.

I work with two other main investors for flipping and for picking finishes, designs, or exchanging ideas we've been using a standard group text with pictures. However, in mid project (especially now that we're doing 3 at a time) things get messy about our finish ordering, what we wanted to do, the good ideas we wanted to implement etc... 

I just want some input about what other people are using that can really help my team and I out. Are you guys using a software? An excel template ? Any ideas are good ! It's all about efficiency and organization.
