Intro letter to new tenants

Hello!

When you take ownership of a building that has current tenants, what is your protocol for introducing yourself? A letter or email introducing yourself and giving your contact info and instruction for where they should pay rent? What is your protocol to ensure a smooth transition?

Ideally the previous owner/manager will have sent a letter letting tenants know the property is closing on X date and the last payment is due to them by Y date. Then you follow with a letter saying you are the new owner/manager and the next payment is due by X date at Y address or Z method.

Dear Mrs. tenant,

We are excited to announce that our company is in the final stages of purchasing the building within which you reside, and I’ll begin managing the property on <date>. Being a local company, providing quality housing and great service is very important to us. As I mentioned in my previous letter, I look forward to continuing to maintain your address with the same pride and quality that <prev owner> has taken in it over the past 19 years.

We are hereby cancelling your existing month-to-month tenancy effective <date with proper notice>. Enclosed in this envelope is a new month-to-month lease agreement for you to sign, effective <date>. In the meantime, please completely fill out both the Rental Application (included with this letter) and the Lease Agreement. I will make arrangements to come by and go over the lease with you sometime next week.

This new lease will provide you with important information regarding our company’s policies. This lease does not change the length of your lease term (month-to-month); it simply updates relevant matters now that I will be assisting you with your housing needs.

Beginning with rent for the month of September, please pay your rent by depositing the entire amount into the following bank account at <your bank>: account # 123; routing # 456. We do not accept rent checks at our P.O. Box; rent can only be paid by deposit.

For your convenience, the nearest location to your home is 123 Main Street, City, or you can execute a bank-to-bank transfer using the routing number provided.

If you have any questions, concerns or maintenance issues, you may call or text my cell phone at <Google voicemail>, or you may email me at the address listed at the top of this notice.

Please don’t hesitate to contact me with any questions about this transition or any other pertinent issue.

Dear Residents,

Effective September 12th, I am the new owner of the property at ADDRESS. I look forward to working with you on this transition.

Please be advised that we have hired MANAGEMENT CO to manage our property in which you reside. PREVIOUS OWNER NAME no longer own or manage the property.

Your September rent was transferred at closing, and your next rent payment will be due on October 1st.

From this point on, all rent payments, inquiries and maintenance reports and requests are to be made to our new property management company. You will be receiving correspondence from MANAGEMENT CO with further instructions within the next few days.

Please make no further payments to PREVIOUS OWNER. All future payments must be received by MANAGEMENT CO on or before the due date in your lease.

Please feel free to call our new property manager, NAME, at XXX-XXX-XXXX should you have any questions or concerns.
