Similar to what you are doing, I am focused on creating more of a repeatable, deliberate process to my rentals; same application, same e-mails, same steps in the process for every single applicant, including tenant screening criteria, reasonable accommodation policy, and I include a "cover sheet" in my e-mails and in-person interactions that provides an overview to any applicants what our rental process looks like.

Of course, if there are obvious signs of deliberate damage such as burn marks or cuts/tears etc. then it is beyond normal wear and tear.
