I would start by building relationships with the top producing agents in your office and advertising their listings such as sitting open houses, door knocking neighbors, direct mail, social media or email.

If you request this in writing to them then they've been put on notice you are requiring they communicate the status of the hoa questionnaire to you in writing. 

Most of them asked for the social security number, which I find very strange and don't like at all to give out.

Before actually buying my first investment property, I set up an LCC and then requested and EIN (Social Security Numbers for businesses basically).
