Moving forward--have full photo documentation of the damages and estimates to repair, and have the manager tell the tenants if they cannot pay in full or with weekly payments, (scheduled to be paid off in full BEFORE the last month of the lease) the management company will move forward with legal action.

You can just give that statement and your spreadsheet to your tax preparer.Trying to add your paid expenses to PMC software is almost impossible, as it will misrepresent what the PMC actually did.Another option is to just send the bills to your PMC and ask them to pay from your portfolio balance.

What you're talking about is pre-leasing which I generally don't see property managers do because it's 1) a nuisance for the current tenant, 2) can be difficult to schedule and 3) it's tough to know exactly when the unit will be ready and most people want to move in in about 2 weeks or less.
