Now, here is my take on what could be happening just from reading your post:If you are making any type of E-Mail/Written communication with these people, you should do yourself a favor and run everything through Microsoft Word and use spellcheck.

Type out an "investor sheet" with basic info ie: Name, number, e-mail, area, price range, types of real estate (rent, fix & flip, multi-family etc), how much rehab is ok, and misc notes.

After starting to listen to the E-Myth and wanting to phase out of the DIY portion of my business, I'm trying to get every system down so I won't be physically doing anything as the "technician" (E-Myth reference).
