If you set up business procedures and don’t deviate you can have the best of both worlds, maybe.

There IS due process built into the law.....most states have strict, specific requirements where the sub must Notify the owner that they are working on their property, the process to verify they are being paid and warning that a lien may be filed if the owner fails to follow proper procedures.

Ask your PM what their standard policy and procedure is and why they didn't follow it.

I would have your tenants sign the addendum that basically outlines security system policies and procedures.

@Vikas Ahuja,  this is Massachusetts we are dealing with, and a minor mistake in procedure can cost you months of lost time and triple damages if you end up in court. 

Does it simplify your financial tracking and accounting procedures, or do you find it more cumbersome?

I wouldn’t publish anything especially if you are going outside of your normal operating procedures.

I would combine this with a ''tenant manual'' so to say, which I know are out here on BP, which gives the tenant standard operating procedures should an issues like a clogged toilet arise.
