Honestly if your not willing to spend a few hundred bucks on accounting software maybe you are not cut out to be in business.That said, with 3 units you can absolutely get by with an excel spreadsheet.

You just need to get the tenants to agree to it in the lease and you simply bill the tenants back by means described in the lease...done!
