I have a general idea and ask a trusted trade to do the work and give me the invoice. 

Usually I get a call if there is a problem with the statement or an invoice.

We use Intuit Payment Network, you can send out e mail invoices and it only costs $.50 per transaction and takes 1-2 business days to be deposited.  

Bills, income, expenses, scans of invoices, notes about issues with tenants, the whole thing.

Just individuals, LLCs, LLPs, sole proprietors.Some vendors will help you out by providing their EINs on their invoices to make it easier.I'd also add goal setting for the next year as setting aside some time to review the ending year's goals.

I am looking to prepare to scale up and do not want to have to be sending email invoices and going through my account every month to make sure payments were made.

Have been pounding various Indianapolis realtor sites but there are too dang many new and reduced 'almost turn-key' properties to analyse that it's gotten very frustrating.  

If you don't want the water or trash in their name, you can invoice them as part of their monthly rent.
