@Myres McDougal - In addition to the legendary J Scott's advice, I would also have the property set up with electronic locks or a lockbox on site day 1 for easy access for contractors / staff. 

If the software is not simplifying your life or making you more accurate, you shouldn't use it.Software does have extremely helpful features like online payments, marketing syndication (click a button and your property is advertised on multiple sites), electronic document review/signing, maintenance tracking, and owner reports.

@Chris Magma I think that is similar to what I do now, I put in a OPRA request electronically and they send me either an Excel file or a PDF of all the currently tax delinquent properties.
