If you were to hire one employee, I would go with bookkeeper that handles books and office as you mentioned, she/he should be under you if you run the office, I would look for a minimum experience of QB construction bookkeeping through class codes, RE acquisition data mining, and electronic/paper filing.

Imo the more you put in folders by date (Jan 2016, Feb 2016 etc), the easier, as long as the transaction info is electronic you can find any receipt easily.  

The property was advertised as separate utilities and all tenants pay their own utilities (I have this printed and saved electronically).  

It is two easy for the deadbolt to get slightly out of alignment and the power actuator become unable to {un}lock the door.We have been piloting the electronic locks on two student properties for almost two years now.

We also want to request they pay via electronic payments and email maintenance request to us as opposed to calling or simply knocking on our door .

Sounds like you need to get set up on some electronic payment plans for you tenants sake as well as your own...But i do get what your saying. personal accountability for your check book is lacking in our culture. 

The rent comes from the company electronically so no need to chase down rent checks. 

There are so many online tools that make it as simple as sending an email and they fill out an online application with background check, etc (cozy works well for that AND lets you collect rent electronically for free which is awesome).
