I’m also going to have them do screencast of their different task for training purposes and archive them.  

This scans documents and stores the actual text, not just an image of the text, making the entire document searchable.You can also keep things tidy by "archiving" files once they are two years old.

Although if you search the archives here you'll probably find lots of ways around it.

I'd suggest you read through the archives and gain enough basic knowledge as to be able to ask a meaningful question.
