Have them submit invoices to you, describe the job you want done not how to do it.

I might be wrong but simple invoices to keep track should be sufficient. 

I would then just bill them back on a professional looking invoice detailing the amounts.

I keep them in my name and send a monthly invoice through RentMindme.

So it sounds like data entry / invoice tracking is easier in Quickbooks which seems like a solid advantage.
