 Number one thing that helped me so far is be about action and dont spend so much time planning or trying to get your road map perfect.  I find a lot of people spend a lot of time getting everything organized and planned perfectly when you could have spent the last month closing a few deals.  

Discipline is huge so make a time line list of things to do that will benefit your business.  Examples set 2 hours for prospecting, then another hour for follow ups, another for tasks that need to be completed for nurturing clients. those are a few of the thing to do but mainly pointing out how you can set timelines to dedicate to task that take action on how you can move forward instead of being stagnant.  Make sure you stick with your plan and make adjustments that work for you.

Setting everything up I have found follow up boss CRM worked best for me to organize all my clients. I set up an LLC so I can keep everything separate from personal finances for tax purposes and when you make high enough GCI then you can take advantage of tax advantages. I also try to dedicate about an hour to just thinking out side the box of creative ways to build a lead pipeline (PPC, Divorce Lawyers, Landing pages, Door Knocking, social media ect), that is your business essentially so make sure you create many for yourself so if one dry's up you have a few others to work off of until you can gain another.

These are just some things I wanted to share off the top of my head, hope it helps!

You have a very impressive portfolio and being all paid off that is awesome!  my 2 cents is I would sell/1031 the house that are about to hit the 27.5 year mark and put them into an apartment building, depending on how much you want to be involved on learning that side if you don't know it already or stick to what you know and purchase multiple SFH.  At least then you can start the clock over for depreciation and bonus depreciate if you do a study on them.  I just feel if you are planning to pass it down to your kids that the apartment building will have more value down the road through appreciation, and it sounds your son has no issues managing it either. 

If you need help selling any or are open to just chat I would love to help or have a sit down and talk strategy to find the best coarse of action.  I feel you know the right path for yourself and family anyways just sometimes its nice to chat with someone to talk yourself through it.

In our experience, the #1 mistake owners make when selecting a Property Management Company (PMC) is ASSUMING instead of CONFIRMING.

It's often a case of not doing enough research, as they don't know what they don't know!

Owners mistakenly ASSUME all PMCs offer the exact SAME SERVICES and PERFORM those services EXACTLY THE SAME WAY, so price is the only differentiator – and they often select the first PMC they call!

So, the first question they usually ask a PMC is about fees - instead of asking about services and HOW those services are executed.

EXAMPLE: PMC states they will handle tenant screening – what does that specifically mean? What documents do they require, what credit scores do they allow, how do they verify previous rental history, etc.? You’d be shocked by how little actual screening many PMC’s do!

This also leads owners to ASSUME simpler is better when it comes to management contracts.

The reality is the opposite - if it's not in writing then the PMC doesn't have to provide the service or can charge extra for it!

We have a 14-page management contract that we've added our real experiences to over the years, with the intent of protecting both us AND the landlord. Beyond the Monthly Management, Placement & Maintenance fees, all other fees in our contract are IF EVENT -> THEN fees.

We don’t know any PMCs to recommend in the area mentioned, but since selecting the wrong PMC is usually more harmful than selecting a bad tenant, you might want to read our series about “How to Screen a PMC Better than a Tenant”:

We recommend you get management contracts from several PMCs and compare the services they cover and, more importantly, what they each DO NOT cover.

EDUCATE YOURSELF - yes, it will take time, but will lead to a selection that better meets your expectations & avoids potentially costly surprises!

P.S. If you just hire the cheapest or first PMC you speak with and it turns into a bad experience, please don’t assume ALL PMC’s are bad and start trashing PMC’s in general. Take ownership of your mistake and learn to do the proper due diligence recommended above😊
