Routine Maintenance- what systems do you use to keep up with it?

We are up to 4 going on 5 doors and self managing 4 of them that are local. I am wondering how others view regular maintenance and service of the items in your rentals such as HVAC, water heaters, softeners and other installations on the property? Do you so routine maintenance and service any of those items? Do you just install and ignore until they die? Do you have any systems that remind you to do the service work?
