For example, if I'm pitching a prospective investor on a deal that promises him/her an IRR of 20% over a couple of years, I need to know how that return will be impacted by deviations in my projections of things such as: 1) vacancy, 2) unanticipated costs and/or delays, 3) changes in interest rates, 4) cap rate changes, 5) year of exit strategy, etc.

It would be equivalent in my mind to prospective tenant that had an eviction on their record 3 years ago but didn't have to have the sherrif come and remove them but rather left on their own once they had the eviction notice.

To be safe, I'd notify via email, regular mail, voicemail....everything...and document it....and get there early before prospective tenants arrive so you can knock on the door and possibly talk in person.
