Some have informed me that I must officially receive the keys and obtain evidence of the tenant's formal surrender of the property.

Why would I contact an agent that doesn't want to do any work or ask questions or get information they KNOW I want before presenting me with properties.  

Patience and staying well-informed are vital in real estate.

.), security cameras, track remote employees (they will steal the cash), cost to install pumps, license fees, hard equipment needed- registers, apps to run the register information, accounting, legal, cases for merchandise, shelves, door hardware, heater or HVAC depending on location...This is a tiny community there won't be a local plumber and electrician... add some cost for time to contact your team and travel will make any repairs more expensive.

Also any other important information moving forward on a seeker financing would be awesome.

Hiring a cleaner for the common areas is a great option (and it might not be that expensive when the cost is split between the housemates).
