What system is everyone using to keep track of property information such as insurance premiums, maintenance records, age of the A/C, etc.

Send them info about it well in advance. a nice package with a folder and a professional headshot and a printout of a press release for the event, with lots of great and interesting details that a reporter can easily report and even spice up as they do.

My tenant, who I only met once was a middle aged lady who only spoke Spanish, I rented to her and then turned the property(4-plex) over to a PM a month later, she had all the right legal dociments but in hindsight she probably was not here legally.
