You should absolutely set up an LLC prior to buying your first property with your business partner, and you need to spend the money to have a lawyer set it up (rather than downloading forms off the internet). 

Is it possible to advance in some tasks from the distance during the buying process?

You can always hire a 3rd party to create these reports as well, but do see any reason logically to do this since all the data is being provided for free right on the internet)
