I personally would keep them seperate unless your broker is getting a cut from all your deals..you can disclose to your client that you are also a real estate agent if they need your assistance you would be capable of helping.

Before starting to process the new month payments, the prior month is checked again for any glaring errors, and then the month is ""locked", preventing any changes to that month, at any time in the future, by anyone.I do not know of Appfolio's capabilities, but any competent PM should be providing copies of all PAID invoices with the monthly reports, in the month they are paid.
