I plan to ask tenants to return utilities during the displacement back in our name.May I in writing encourage our tenants to reach out to their insurance company to see what assistance they can receive in this displacement?

For many policies, if it is in the name of John Smith & Joe Jones, John Smith is the first named insured and has some special rights such as Initiating cancellation, requesting policy changes, receiving notices & return premiums. 

While you've received a ton of valuable feedback already, I do want to add that you may want to consider creating a credibility book for yourself and your partner, detailing your prior experience, particularly with multifamily and listing your track record in their as well.
