While reading the book helps: Experienced contractors local to an area know a lot more about what's ininvolved on a rehab and can estimate much more accurately than just going off a book. experience is key in that aspect. 

However, moving to a purpose built rental management software was a huge step forward in almost every aspect.

This would satisfy the exchange but then leave you vulnerable jn the negotiations with the seller and not in control of all aspects of the workmanship unless very strongly negotiated.The bottom line for you here is yes there are several ways to do this.  

Post card are a good idea but the times and technology are moving toward digital post cards.
