One other suggestion you might take is to suggest they use the title company you got insured through because apparently they are more relaxed with their requirements.

I was interested if anyone has gone through a similar situation or have any suggestions for prevention.

suggest you start with Dave Ramsey principals ... then move out from there.there is some big huge fallacy  that Real estate is going to let you quit your job and your going to have all this time for the kiddos etc.this will never happen in the short term with rental property.. you build a nice base for retirement in 30 plus years for sure.. but for short term replace your income and have all this free time you need to make transactional income with big hits.. your not going to get their with 200 to 300 a month cash flow on a levered up rental .

When the vendor marks the job complete, the tenant is automatically asked if the work was done to their satisfaction and it asks them to review the vendor and my company.The automation works most of the time, but there are some times where additional communication is needed.

I would suggest you find an agent in your area from bigger pockets and go from there.
