We asked for approx $1500 and they disputed so since we have to goto court, we decided to fully list all costs of damages. 

I have have seen several "bad" appraisals and it is near impossible to dispute them.

To tag on this - make sure it’s not self serviced and serviced by a licensed entity otherwise your note becomes almost worthless as if the borrower disputes and your supposed to be licensed you may lose.

My worry is that a roommate dispute may hurt my chances of borrowing money from banks.

Normal business hours are usually a safe bet, so if you present the tenant with a written (I would also send an email if possible, never rely on one form of communication) date and time block that you will be entering to show the property there is little they can do to dispute your actions.Always remember that they can always take to civil court and being a landlord/property manager is one of the most litigious careers in the country, so make sure to document the process each step of the way to best protect yourself and your assets.

I would simply say to them that I've never dealt with this situation before and so I'm unsure of how to resolve this situation so I would ask her opinion on how she would like you to help and see if the resolution is viable and feasible.

This will bring you some resolution.
