If the mailbox had a flap at the start of a tenancy, and it disappeared, under my lease, that would be charged to the tenant (potentially the same for the broken closet door.. but the description is too generic to understand if it wore out or if it was abused).

I would agree with @Patricia Steiner that sphere of influence is definitely a more effective way to go for your main strategy, and maybe you can add in cold calling to supplement it.
