I assume your mtg documents allow you to be reimbursed/add that to your balance due, as every other mtg does.

We also replaced shower heads and all toilets, but were fully reimbursed by our water company (almost $1k savings!)

Pay the bill yourself, then reimburse yourself by charging the tenants based on a formula.
