I'm wondering the best/standard/legal way to charge new tenants for heating oil in Massachusetts and how to incorporate that into the lease. 

I do not have an incorporation yet and do not know if its necessary to get one for my first unit. 

I have a BBA in Marketing from the University of Georgia and extensive experience in online marketing.I have a WIDE variety of skills I have accumulated over the years...computer and IT, e commence and online marketing, graphic design and a bunch of others.

I know Software is incorporated and kiosks can be used, but how else is a nearly hands off approach achieved?

In a 9 ft ceiling, it is ok because you can purchase 9 ft long material and this minimizes unsightly joints.In this kitchen, the 10 ft wall incorporates a window, and the light that comes in through this clerestory style window is very nice.
