Carpet especially is always going to be an argument - unless you have many clear and graphic before and after pictures or video.But if it were me I would write a separate 'invoice' for each item - with it's price.

You might create a surcharge and add it to the invoice, but understand, it's NOT ENFORCEABLE and only serves to give notice to the tenants.Water service Co will have tips which help, but our landscaping was the culprit, so we cut back on the timer duration and days to be watered - - saved $200.

Something to consider, why not share with them how much you are paying to have the home professionally cleaned for them - send them a copy of the invoice that was paid by you.

We had used this company last year for some outside light replacements so it was a small, couple line item project with no issues.We never had a signed contract for this new work and it all boils down to the worker charging us $2000 to cut holes in drywall which I specifically stated that I would cut the holes, and on the final invoice the owner changed the wording to be installing outlets in the kitchen...

I would run sub invoices and payments through the LLC to me as the customer at cost, so the LLC wouldn't be generating any profit or loss otherwise.

I use Quickbooks for all of my accounting, and I was able to set up ACH transactions through that.  50 cents a pop, easy, and tenants pay invoices right online.
