Unless there is a reason to submit your tax returns, you could go w2-only. 

I have 3 individuals renting a condo together that is 3 bed 3 bath.

I've seen posts on here from a few years ago about rental portfolio dashboards, but all seem to be inconclusive or suggest a software subscription to have such a reporting tool. 

I think time blocking for returning calls and emails would be a good idea though.  

They've violated the lease, and the chances of them making a long-term change to become a decent tenant are slim.
