I would ask for the usual documents such as current leases, payment records, any three day notices issued, current tenant information, transfer of security deposit or reserves (you may be able to do this electronically or by check) along with their application and any estoppel certificates (signed document by tenant that their rent, security deposit, terms was this) if your state has those.

If the software is not simplifying your life or making you more accurate, you shouldn't use it.Software does have extremely helpful features like online payments, marketing syndication (click a button and your property is advertised on multiple sites), electronic document review/signing, maintenance tracking, and owner reports.
