We make them sign and acknowledge all the fees at lease signing Then when the tenant gives notice we send them the video link and the pictures to let them know that is how we expect to get our property back.Then after the tenant moves out we take another video and another 150-200 pictures for before and after pictures and proof should we ever go to court

Seems like the unpaid rent would more than offset the security deposit; so, anything more may not matter unless you are going to court (but I would offset legal fees as well without question).

Of course you know that you can get another job to save money, but my guess is if you get another job-the ex can take you back to court and take some of that too which defeats the purpose.

Once you have them served and file the papers with the court, the court will assign a First Tier Hearing - basically a mediation session where hopefully you are able to work out a move out date certain (with the tenant paying use and occupancy).
