Then you can make the appropriate moves when the wind is more at your back and there is less emotional involvement in your decision making.

Just document the current condition before the cleanup process and follow any other local law or procedure that is in your municipality.

I have been learning how the process works and there are a lot of resources for how to interview a sponsor and review the deal, but how do you initially access the deals to review?

I would work on my communication of my processes including letting them know asap of their schedule with me. 

When you do a little extra work ahead of time, the process goes so much more smoothly.
