Actually TALK TO THEM on the phone and/or in person, find out about their situation, and if they seem like a good fit, basically just be smart about it, and have human interactions with them, it's that simple. 

In short, the best Real Estate CRM to use is the one that fits your personality and habits in my opinion. 

There is a LOT of PM's out there and without doubt nobody is the perfect fit for anyone and everyone, my brokerage included in that.
