You can Google time tracking templates/spreadsheets or download a time tracking app.  

Another potential question to ask would be if they use a comprehensive property management software and if they stay up to date with technology.

If you download the meetup app on your phone and join the group you can attend a meeting. 

If insurance won't handle it, then I recommend you document it heavily with pictures, dates, etc.
