If you are using Excel 2013.  Add extra columns to your excel spreadsheet right after the column with the name.  Highlight the column.  Go to the Data Tab and Click on "Text to Columns".  You can separate the text directly without leaving excel.  This may work in earlier versions of excel also.

Are you marketing to all houses within that neighborhood?  If so, the postal service offers you the ability to mail to a specific route.    I haven't used it, so I am not quite sure how it works, but you can check it out here --> https://www.usps.com/business/every-door-direct-mail.htm

It will cost you more, but may protect you from penalties associated with unlicensed brokering.

 Might be a red flag, but may also just be an indicator of the rental market.  The market is really tight in Denver right now and we get some of those asap people.  The ones that we have accepted have turned out to very good tenants.

When the security deposit is not adequate to cover costs of damage and cleaning, our reconciliation letter requests payment of the deficiency within 30 days. Every once in a while we get it. If not, we wait another 30 days and send a copy of the lease, the security deposit reconciliation, the tenant’s original application to a collection agency. The agency we use takes a portion of what they collect as their only fee, so it costs us nothing unless they can collect and the agency is pretty motivated. Sometimes we collect within a couple of months; sometimes it is years later; and other times we never get anything. The advantage, though, is that we do collect some of it without any ongoing effort on our part. Once the agency has it we can forget about it until a check shows up.

It is easy. It costs nothing. It holds the tenant accountable.

In a situation like this, I would knock on the door and talk to them.  They probably have received letters from other investors and the personal touch may make all the difference.  Do you have a friend or know another investor that speaks Spanish?  Take them along.

Everybody's advice is spot on.  One more thing that I'd like to add is to go to investor meet-ups & REIAs in your area.  You will meet and be able to develop relationships with investors in your area.
