Probate Mailing Campaign Questions

Hi,

Looking for some advice as I am putting together my first probate mailing campaign. I have access to the information online via the local clerk of court's website. What I am noticing is that some of the successions are take several months, others are 100% filed and completed in a couple days. The way I am finding them is when the Judgement of Possession is filed for the property, which seems to be the very last thing filed. So for the successions that have been going on for months, I will be contacting them much later than the ones that were filed and completed in a short period of time.

My question are:

- Should I have different types of letters for the successions that have be ongoing for the last couple months vs the ones that were filed and completed in the same day (very recent).

- I assume I should send a letter to the address of the property that was inherited, but should I also send a letter directly to the heir ? I could look up their address and send a duplicate letter to them?

- If I send directly to the heir, what would you do if there was multiple heirs, send to the one that lived closest to the property or send duplicate letters to all of them?

- Does anyone have any suggestions or sample letters I could read over? I have a general idea what to say just want to make sure I am not off base.
