direct mail organization

I am planning my direct mail campaign and am wondering how do you separate your lists and mailers? Different phone numbers for everything? 

I use google voice and can only assign one number to my phone.  Am I missing something? If not, what voicemail service/phone service are you using to distinguish between lists and mailers?

Also, i am checking out podio, seems very efficient for following up with prospects.  However I dont know how to use it really, is there a tutorial somewhere?

Voice mail is very powerful took also when it comes to capturing leads. I will use it in a way that will convert people to take some form of action. Not just asking them about their property, but something of the notion to get them over to your website.

Yea, get them to the website so the site can do all the work for which will save you tons of time and eliminate those tire kickers. BELIEVE ME!!

 So do you ever answer the phone?  Or do all your calls get sent to voicemail?  Is it better to have them call you instead of go to a website?  I don't have one set up, is it vital?  At least in the beginning?

@Eric Narciso it's not vital to the survival of your business, but it will make life that much better. You having them go over the website allows you to eliminate those tire kickers right off the back. 

If that person can't make that next step then they might not be a good lead. Remember your time is valuable, and if you waste it all day talking to people...you will never become productive.

Voicemail is a process of keeping voice messages automatically for later retrieval by proposing receivers. Visitors leave short messages that are kept on digital media or some older systems like analog recording tape. You should think once about factors that affect your campaign.

 We use call tracking numbers with analytics and reporting. Each campaign has it's own number i.e probate, absentee owners, vacant, etc. This is much different than Google voice because the platform we use allows you do do a lot more with the call/leads. We also use Podio and set it up for wholesaling. It takes some time to set up but it's worth it. PM me if you need help!

@Tim Herndon gave some great advice and I just wanted to second it. We use a VOIP system called FreePBX (requires some tech competency but nothing crazy). We are able to have different numbers for different mailers campaigns e.g. one number for postcards, one number for yellow letters. These systems allow you to track leads easily rather than counting calls from Google Voice and trying to determine what was the cause for their call. 

It also allows for very customizable voicemail recordings and prompts. When you call the number on my card/letter you are met with a brief recording explaining who I am and what we can do for them. At any time they can be connected to me by pressing 1. I always try to answer the phone on that first call, I feel it makes for a decent first impression. 

I would highly recommend setting up a site for lead generation as well. The costs are so minimal, you could probably set one up using Squarespace and have it ready in a day. I recommend Wordpress though for the flexibility and functions. Even if your site is not generating leads itself, it will lend a sense of credibility to your relatively new operation. SalesForce, Podio, and plenty of other CRMs are great for tracking these types leads.
