direct mail organization

I am planning my direct mail campaign and am wondering how do you separate your lists and mailers? Different phone numbers for everything? 

I use google voice and can only assign one number to my phone.  Am I missing something? If not, what voicemail service/phone service are you using to distinguish between lists and mailers?

Also, i am checking out podio, seems very efficient for following up with prospects.  However I dont know how to use it really, is there a tutorial somewhere?
