Best Receipt Scan/Tracker App

Posted

Happy New Year!  What app is everyone using to track receipts for each property?  Can you separate these receipts by each property?  Thanks in advance

I use Buildium for all income/expense tracking, and an Epson Workforce scanner + PaperPort for receipt/invoice record keeping. Buildium does allow you to upload a PDF for each invoice if you want to group the account record with the paper record, but I think this is far too time consuming and cumbersome.

The Epson scanner is great for high speed scanning receipts all the way up to 8.5x11 paper of any length. Paperport combines the scanning interface with file system management so you can control which folders the receipts are scanned to on your PC.

This folder structure has worked well for me for over 15 years of doing this:

[Property Address] ---> [Income/expense category] ---> [Current Year]

The receipts in each PDF are scanned chronologically from Jan 1 to Dec 31, so you can literally "scroll" through the year and find whatever you need. You can also search transactions in Buildium, and then find the correct PDF to view the actual invoice.
