Unfortunately the IRS doesn't ask to see a copy of your "brain" if you ever get audited. They ask to see your receipts, balance sheet and P&L to start with. Your wife will not be able to access your "brain" if you pass away. No bank will lend to you if you show them some scribbles on a notepad and tell them "don't worry - it's mostly in my brain."

Quickbooks desktop can (and should) be backed up online (through any number of back up services like Carbonite), with a thumb drive, or you can just use QB online which lives in the cloud. Please rely on the advice of ANY professional CPA, accountant or bookkeeper you know. I am pretty sure no one will suggest doing this by hand and "brain."
