Self-Directed Solo401(k): Manually recording a "conversion to roth" in txt file??

I signed up for discountsolo401k.com recently. No complaints but I'm paranoid about recording my "conversion to roth" manually. DiscountSolo401k Support did already answer this question... but I'd like a 2nd opinion. This is just way too important and I couldn't find any other sites on the subject.

Is this conversion to roth "record" sufficient/legal?

When does the "conversion to roth" become official? When I make that recording? When I give myself a 1099-R? When I file my taxes?

Also a lil off-topic but I couldn't find any alt sources for this either: Am I able to contribute all $66k as Voluntary After-Tax Contributions, or do I need $22,500 of it to be Employee Deferrals?
