Looking for a Letter Template on proper AC installation

Not all of our properties have central AC and most tenants will be starting to put out their window AC units in a few weeks when things heat up here in Pennsylvania.   Once about 10 years ago our tenant did not install their unit correctly and the water condensation was dripping into the house and actually caused part of the ceiling to collapse.   Learning lesson for quarterly inspections!!  I am considering this spring to be proactive and put out a note about proper installation of window units this spring that will coordinate with a letter about their spring inspection.    Does anyone have a sample and what points would you include?   Below are some of my thoughts.  Any liability I can avoid by having them install their own units?  Love to hear your thoughts

- AC unit needs to have an exterior side panels and brackets to support to secure the unit

- Do not screw into the window sash as this will damage the window and you will be responsible

- Install weather striping to avoid water or critters from entering your unit

- Unit needs to be tipped towards the outside to avoid condensation and damage to floors

- Landlord is not responsible for their Air conditioning unit if broken

- Tenant is responsible for window, floor, ceiling damages caused by poorly installed window unit

- Window unit should not be installed before May 1st and must be removed by Oct 1st

@Patti Connolly this is a great thing to have. We have a stipulation in our leases for this: Its pretty simple. 

Liability for Personal Air Conditioning Units

The use of personal air conditioning units in the premises is at the tenant's own risk. The tenant assumes all liability for any damage to persons or property arising from the installation, operation, and ongoing use of the air conditioning unit. The owner of the property will not be held responsible for any such damages. It is the tenant's responsibility to ensure that the unit is installed, maintained, and operated in accordance with all manufacturer guidelines and local regulations.

But if you have your own addendum referenced above, here are few others you could add to the list you made:

Annual Maintenance 

Encourage tenants to perform or arrange for annual maintenance checks on their AC units to ensure optimal performance and safety throughout the season.

Contact Information for Approved Vendors

Provide a list of approved vendors or technicians whom tenants can contact for professional installation, maintenance, or repair of their AC units.

Emergency Procedures

Include information on what tenants should do in case of an AC unit malfunction that may threaten the safety or structural integrity of the property, such as water leaks or electrical issues.
