Proof of funds / pre approval letter

What is the standard protocol for showing proof of funds? Is that the same as a pre approval letter. Or can the proof of funds document be more informal. Some sellers demand proof of funds in order to show rent roll and other information on said property. In other words is there a generic proof of funds document or does each one have to be specific to the actual property in question?
